Getting Started

Congratulations on choosing to become a member of the NATE family of HVACR Testing Organizations. As you review the Testing Organization and proctor sections of our Web site, you will find helpful information, as well as, links to documents and forms that you will need to get started to maintain TO and Proctor status. As NATE’s policies do occasionally change, NATE suggests that you come back and review the Web site monthly to stay current.

Becoming a NATE Testing Organization

To begin the process of becoming a NATE Testing Organization, please review the NATE Testing Organization and Proctor Policy and Procedure Guidelines and then download and complete the Testing Organization Application.

Completing the Testing Organization Application

When you download the Testing Organization application, you will see a detailed list of instructions for completing and submitting the form.  Once you have submitted the application, NATE will review it and if approved you will be notified by email and receive your four-digit Testing Organization number.

Remember this is a contract and violations of the policies and procedures are reasons for cancelling your privilege to be a NATE Testing Organization or Proctor.

Once you have a proctor approved you are ready to order exams and schedule tests.

Note: Each time you log into the NATE system to schedule a test, register a course or order exams, you will be required to use your TO number along with the password you created on your TO application.

Ordering and Scheduling Tests

Orders for paper tests should be placed on myNATE.org.  If your shipment needs to be processed in three days, an expedite fee will be applied to the shipping cost. You can view any additional charges on the test order calendar.

Testing organizations do not pay for the tests when ordering—they can return payment for the tests when the tests are returned for grading or wait for an invoice. Testing organizations may also place a credit card on file to be automatically charged.

When ordering tests online at myNATE.org, you will need to log in using your myNATE username and password. You can create this log-in by using your Testing Organization Number (TO#) and password you receive in your confirmation email from NATE when approved as a testing organization.

Testing Organizations can administer tests either as written or electronic. Tests given online (proctors set up the session beforehand), must have a proctor. Testing organizations notify the candidate of the test date and time, and then sign the candidate in and are present during the testing session. The tests will arrive by the date requested by the testing organization. If they do not arrive, notify NATE immediately so we can find out where the tests are, and get them to you in time.

Test Ordering and Sessions

  2. The Core is 1.5 hours and most specialties are 2.5 hours.  Please check the opening pages of the KATEs for length of individual exams.
  3. Testing Organizations must abide by the Americans with Disabilities Act.

How It Works

You are required to follow the NATE Testing Procedures. Although this is a huge responsibility, we break the process down into 8 simple steps:

  1. Decide to hold a testing session.
  2. Designate a Proctor for each test session.
  3. Complete paper exam orders or create an online test session at myNATE.org.
  4. Receive shipment of NATE/VGI-sealed exams for Proctor.
  5. Hold testing session.
  6. Make sure the Proctor bundles and seals completed and unused exams.
  7. Attach payment and ship tests to NATE/VGI within 48 hours of test date via trackable shipping (Fed Ex, UPS, etc.).
  8. Exams will be processed within five business days of VGI receiving them, results will be posted online and all documents will be mailed directly to the candidate.

Privacy Policy

Federal Privacy law prohibits NATE from releasing individual exam results to anyone other than a candidate without written permission. By signing the Third Party Release Form the candidate is authorizing NATE to release results. Candidates may change their release status by logging onto their record at myNATE.org.

A technician most often must pass the CORE and one SPECIALTY exam of their choice to earn certification.  See KATEs for exact requirements.

Collect Your Own Fees

While NATE has established a base price for all exams, you may charge whatever you like for the exams. You are also responsible for collecting payment.

Place Your Order

You are in charge of registering your candidates. We recommend you use the NATE Test Registration Form, however, you may create your own registration form.

If you work with purchase orders, be certain you have acquired an approved purchase order before ordering NATE tests or giving an online test. Please do not fax the purchase order to VGI or to NATE. Put the purchase order number on the Test Session Audit Form when returning exams for processing. If giving an online exam there is a spot for a purchase order number in the proctor setup section.

Email confirmation will be sent to you once your test order is placed. Make sure your spam/firewall is set up to allow mail from support@nate.vgihost.com. Check with your IT department for assistance.

You may track your orders by visiting myNATE.org. Sign in using your myNATE username and password, and select either the TO or Proctor tab, then select View Existing Paper Exam Orders.

Set Your Schedule

TOs determine their own testing schedules. Once you decide to conduct a test:

  • Visit www.myNATE.org
  • Select Testing Organization
  • Log in with your TO ID
  • Complete the Exam Order
  • Complete the Test Session Scheduling form for display on www.natex.org
